Responsibilities:
1. Provide administrative support to a leaders
- Calendar scheduling and all secretarial support for leaders.
- Coordination and support on Ariba payment process (e.g., POs, invoices, cross-charges etc)
- Coordinate team meetings and processes
- Liaise with external parties (e.g. candidates, supplier, visitors, etc)
- Plan travel arrangements including visa requirements and expense reports
- Involve in ad-hoc projects and admin-related tasks
2. Office administrative support for teams
- On-boarding/off-boarding support
- Business cards printing
- Guidance on visa application, preparation of company letters if required and arrangement for pick-up for outbound employees
- Preparation of invitation letters for inbound visitors
- Support large workshops/events logistics coordination and catering
- Guidance on system related processes (e.g. Ariba, Concur)
- Invoice management: New vendor creation, Purchase order generation - inter-company invoices, non-PO payments, Support month end PO / year-end closing accruals.
- Coordinate signatories for contracts/service agreements
- Printing and binding of documents for large meetings/ workshops
- Large quantity to be outsourced to printing vendor
3. Provide back-up support for peers during annual leave or medical leave
Qualifications:
- Minimum Diploma education
- 7 years of relevant working experience preferably in fast pace environment
- Excellent communication and people skills, team player
- Able to work independently and problem-solve for issues
- Confident and ability to juggle several demands from different people
- Able to execute, prioritise and meet deadlines
- Able to work across cultures and with diverse range of people
Job Type: Full-time
Contract length: 12 months
Pay: $6,500.00 - $7,500.00 per month
