Description of Duties:
Provides records management assistance to support departmental client service delivery.

Duties/Responsibilities:
Prepares new files, retrieves existing files, and maintains file room, per policies and procedures. Performs database searches to access file and applicant status.

Transfers, tracks, and processes files between locations. Searches for misplaced files (physical and electronic).

Prepares, ships, and tracks closed files for offsite storage. Recalls files, sends to requestors, and arranges returns to storage. Arranges file storage/retrieval with vendor.

Updates/maintains file room procedures manual.

Responds to records management-related requests from staff, corporate information management, and other government offices.

Provides file room support as requested by management and program staff. Maintains/orders office supplies, as required.

Backs up other administrative staff as assigned.

Processes mail.

Performs related duties as assigned.

Knowledge, Skills & Abilities Required:
Knowledge of records management, administrative, and general office procedures acquired through a grade 12 education plus 2 years of related experience.

Knowledge of and ability to comply with policies, procedures, legislation, and guidelines (e.g., privacy and freedom of information).

Time management and organizational skills to prioritize work and meet deadlines.

Communication skills to provide customer service and assistance to other staff and participate as an effective team member.

Ability to create/complete forms, records, and standard letters, and write concise notes in provincial database and document management systems (e.g., file transfers, files retrieved from dormancy).

Computer skills with ability to use software such as Microsoft Office, a document management system, scheduling software, and provincial database technology.

Ability to work independently and adapt to changing priorities/deadlines.

Ability to travel within Waterloo Region.

Ability to support and demonstrate the Region’s values.
