Job Description:

With a continuous forward-thinking focus, the incumbent will provide efficient and high-quality administrative support to the SVP, Corporate Development. The successful candidate will be a self-confident, pro-active, innovative thinker with superior organization and time management skills, and the ability to handle a variety of responsibilities. The role is external facing, fast paced with multiple demands and requires a demonstrated regard for confidentiality, diplomacy, great relationship skills, and a high level of judgment ability to solve for solutions.

What will you do?

    Support the SVP, Corporate Development and Investor Relations and VP, Corporate Development
  • Manages all aspects of the SVP and VP’s short-term and long-term calendar to ensure meetings are prioritized with internal and external stakeholders as appropriate
  • Effectively maintains relationships with other EAs in scheduling and coordinating meetings for SVP, VP and Investor Relations Team.
  • Assists in the coordination of external meetings with Investors and Analysts
  • Proactively anticipates the needs of the SVP and VP in a dynamic and fast-paced environment.
  • Manage the Investor Relations SharePoint, including access and file management
  • Supports onboarding of new team members
  • Coordinates complex travel with multiple legs, occasional modifications and all accompanying material
  • Supports team events and participates in planning/execution of engagement activities, including reward and recognition.
  • Contributes to a team focus of continuous improvement – improving how we work, including the experiences and working environment in Investor Relations and Corp Development
  • Supporting SVP and broader team as purchase coordinator (this includes IT equipment purchases, association dues, actuarial learning & development costs)
  • Assists in the preparation and distribution of meeting agendas, letters, memos, presentations, and reports. Creatively uses Power Point and communication skills
  • Works comfortably with a wide variety of people at all levels
  • Provide coverage for other EAs on the team during vacation time/absence
  • May perform other administrative duties as required

What do you need to succeed?

  • A minimum of 5 years’ experience working as an Executive Assistant supporting senior leaders
  • High level of proficiency with Microsoft Office applications (Word, Excel, PowerPoint), proficient with web, and able to quickly learn enterprise applications. Strong PowerPoint skills are required
  • Forward thinking with the ability to prepare & plan for re-occurring meetings
  • Resourceful, energetic, innovative, highly service-oriented and a team player
  • Proactive self-starter who can take initiative, ask great questions, demonstrate curiosity, work with minimum supervision and multi-task under pressure
  • Strong organizational and time management skills with the ability to work in a fast-paced and constantly changing environment
  • High attention to detail
  • Strong communication and interpersonal skills ability to get things done through others. This involves interacting with a wide range of individuals in different situations and often requires tact, diplomacy, judgment, and discretion
  • Ability to handle and maintain confidential information is required
  • Takes personal responsibility for delivering quality service

Notes/Unique Requirements:

  • While regular working hours are quite regular, occasional overtime, ability to work flexible hours with minimal notice

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
